Business units are divided between two distinct areas: Major Projects (primarily construction based) and Special Projects (primarily based on shorter duration type projects, renovations/retrofits, including service and maintenance).Recognizing that their people are the key contributor to their success, becoming a member of the MML team offers several benefits, including professional growth and advancement opportunities.Summary of RoleThe Project Coordinator 3 (PC3) position involves managing technical communications, documents, purchase orders, and invoicing related to a project. A PC3 would be involved with multiple complex projects or a few very large projects with significant administrative needs.A PC3 has a very good understanding of the mechanical trade and can work independently. The PC3 will work closely with their Project Manager (PM) and Site Supervisors (SS). They will also work with project engineers, owners, City and Provincial authorities, and other stakeholders.A PC3 will be a central role for larger and more complicated projects, providing the necessary information to the PM and SS on a timely and regular basis. PC3 can operate independently and supports the project team. The PC3 will provide support on contractual issues and support other PCs with difficult project issues.What you’ll be doing:

  • Manages project documentation including contracts, drawings, purchase orders (PO), shop drawings, all correspondence, equipment deliveries, etc.
  • Review of project contract scope against bid scope and reconciliation of differences with GC. Determines if there are gaps in the scope as defined by estimating.
  • Development of PO documentation for Vendors and Subcontractors based on quotations and project requirements
  • Prepares a Project Schedule and overall Project Budget and supports the PM & SS to manage the schedule and budget
  • During Project handover from Estimating, reviews project specifications, drawings, equipment POs, Sub-contractors POs, Schedules, and Budget data and all other project related documentation
  • Obtains and Reviews Shop drawings, coordinates approval with GC and Engineer. Determine if shop drawings are applicable and accurate
  • Assists SS in coordinating Sub Contractors
  • Conducts field meetings and minutes with the PM and SS.
  • Tracks and coordinates all vendor shop drawings and delivery dates with SS
  • Prepares Request for Information (RFI), generate change order and/or work orders
  • Coordinates with the GC, Owner or Engineer to resolve issues
  • Develops progress invoices for the project on a regular schedule. Coordinates all billing issues with GC or Owner. Works with GC to negotiate a schedule of values
  • Regularly monitors progress billing and subcontractor billing to ensure timely cash flow. Can determine what subcontractor progress billing levels should be if an invoice is not received
  • Can negotiate with Subcontractors in the best interest of MML when issuing POs
  • Resolve subcontractor scope and billing issues with minor support from the SS and PM
  • Develops the O&M manual package throughout the project
  • Coordinates submissions and maintains the as-built drawings for the project
  • At Project completion, determines that all project invoicing has been completed.
  • At “near” Project completion, implements the necessary tasks to achieve project closeout, including a billing review
  • Supports operations management in specific projects assigned
  • Supports other Project Coordinators as needed
  • Accountable for mentoring other PCs and SSs
  • Support field staff and projects using technical skills and equipment as required/as skillset supports
  • Manages project forecasting activities, and required follow-ups
  • Ensures all project related documentation follows MML procedures
  • Performs other duties as required

Requirements

  • 3-5 years’ Project Coordinator experience in the ICI Construction industry. Mid-rise residential also considered.
  • Very good understanding of the mechanical trade and construction process
  • Diploma or Degree from a Construction related program is an asset
  • Licensing / Red Seal in their specific trade or equivalent experience, an asset
  • Demonstrated ability to balance tasks relates to multiple construction projects
  • Licensing / Red Seal in their specific trade or equivalent experience, an asset

  • Proficient working knowledge of Procore, Change Order, Accubid or equivalent software
  • Good communication skills, both verbal and written
  • Drivers License in good standing and flexibility to travel to job sites when required
